TERMS & CONDITIONS FOR CLEARLIGHT PROPERTY CARE

Welcome to ClearLight Property Care (“we”, “us”, “our”). These Terms & Conditions govern all quotations, bookings, exterior cleaning, property maintenance, and improvement services provided by ClearLight Property Care to our clients (“you”, “your”).
By accepting a quote, making a booking, or engaging our services, you agree to be bound by these Terms & Conditions.
1. ABOUT US
ClearLight Property Care operates as a sole trader based in Hampshire, UK, specialising in high-quality property maintenance, improvement work, and exterior cleaning.

2. QUOTATIONS & PRICING
- Validity: All written quotations issued by ClearLight Property Care remain valid for 30 calendar days from the date of issue.
- Scope of Work: Quotes are based on the visual assessment or details provided by the client. If additional work, hidden repairs, or structural issues are discovered during service delivery, we will discuss any revised pricing with you before proceeding.
- Pricing Integrity: We pride ourselves on providing clear, transparent pricing with no hidden charges.
3. DEPOSITS & PAYMENT TERMS
A. Upfront Deposit
- A 50% deposit of the total estimated job cost is required prior to commencing work or securing your booking slot on our schedule.
B. Final Invoicing & Payment Window
- Upon completion of the work, an invoice will be issued (via Xero).
- The remaining balance is due within 14 calendar days from the date the invoice is issued.
- Accepted payment methods include direct bank transfer and electronic payment options specified on your invoice.
C. Late Payments
- We reserve the right to charge statutory interest and administrative fees on overdue balances in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
4. ON-SITE OPERATIONS, ACCESS & UTILITIES
To ensure work is carried out efficiently and safely, clients must adhere to the following site conditions:
- Utility Supply: The client agrees to provide access to a reliable mains water supply (outdoor tap) and a standard 240V electricity supply at no charge to ClearLight Property Care for the duration of the work. If you cannot provide access, then you should contact ClearLight Property Care before any work commences to inform them of any difficulties.
- Parking & Access: The client is responsible for providing suitable parking and vehicle access for our equipment. Any parking permits, toll charges, or parking fees required must be arranged or reimbursed by the client.
- Exceptional Circumstances: If site access, parking, or utility connections are unusually restricted, difficult, or unavailable, you must notify us prior to booking so suitable accommodations can be planned.
5. CANCELLATIONS, RESCHEDULING & MATERIAL COSTS
We understand that plans change. Our cancellation rules balance fairness to clients with our operational commitments:

Important Rules on Material Costs & Late Cancellations:
- Purchased Materials are Non-Refundable: Regardless of when notice is given, any materials, specialist supplies, or custom products already purchased specifically for your job are 100% non-refundable.
- Cancellation Within Required Notice: If you cancel within the required notice period (48 hours for retainer, 1 week for one-off), your deposit will be refunded minus the cost of any non-refundable materials already purchased.
- Late Cancellation (Outside Notice Period): If you cancel outside the required notice period, any refund or partial refund of your deposit remains at the sole discretion of ClearLight Property Care.
Statutory 14-Day Cooling-Off Period
Under the Consumer Contracts Regulations 2013, you have a legal right to cancel distance bookings within 14 days. However, if you expressly request us to begin property maintenance or cleaning work within this 14-day period, you acknowledge that you waive the right to cancel once service delivery has started.
6. WEATHER & ENVIRONMENTAL CONDITIONS
Due to the nature of exterior cleaning, roofing, timber treatment, and exterior maintenance.
- Safety & Quality Rescheduling: ClearLight Property Care reserves the right to reschedule work at short notice if weather conditions (e.g., severe rainfall, high winds, sub-zero temperatures) pose safety risks or hinder service quality.
- Adverse Weather Equipment Surcharges: If urgent work must proceed during challenging or hazardous weather conditions at your explicit request, additional charges may apply to cover necessary safety preparations, specialised equipment, or extended setup requirements.
7. PRE-EXISTING PROPERTY DEFECTS & LIABILITY
A. Client Duty to Disclose
Clients must inform ClearLight Property Care of any known pre-existing property issues prior to the start of work. This includes, but is not limited to:
- Loose roof tiles, crumbling mortar, or fragile exterior render.
- Faulty window seals or blown double-glazing units.
- Leaking pipes, electrical hazards, or damaged drainage systems.
- Delicate garden features, solar panels, or fragile exterior fixtures.
Disclosing these issues allows us to take precautions, mitigate risks, avoid further damage, and prevent workplace injuries.
B. Limitation of Liability
- ClearLight Property Care will exercise all reasonable care and skill in performing services in accordance with the Consumer Rights Act 2015.
- We are not liable for pre-existing structural decay, hidden property defects, or damage resulting from unflagged fragile surfaces that fail under standard exterior cleaning procedures (e.g., standard pressure washing).
C. Public Liability Insurance
- ClearLight Property Care maintains comprehensive Public Liability Insurance up to £1,000,000 to protect your property and our operations.
8. CUSTOMER SATISFACTION & COMPLAINTS
We take pride in delivering personalized, high-quality local care. If you are unsatisfied with any aspect of our work:
- Please inform us within 48 hours of job completion by emailing info@clearlightpropertycare.co.uk.
- We will inspect the issue promptly and, where appropriate, rectify any work that does not meet our high standards at no extra cost.
9. GOVERNING LAW
These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the English courts.
I like that with the deposit if they cancel outside of their allotted cancellation time we do not lose all profits, maybe 50% is okay, i would like to discuss 🙂
Please note that i really do want the deposit system as this would save us on cancellation issues as well as hopefully reducing the number of overall cancellations, so i do really want this in the terms and conditions
Is there a way to make this up to my discretion and or for jobs over a certain amount and or type, my only thinking is for jobs that are small like a gutter clean and clear for £200, maybe like a different percentage for smaller hobs or something, its only a thought so feel free to stick to the original
if they cannot supply and outdoor tap then we must be given access to a flowing water supply within the property if our work requires it
same with the electricity supply, it can be either in or out the house
